Oxfam is unable to guarantee the obtaining of a work permit for the role. Candidates must have and be able to retain the legal right to work in Laos. We are not able to support the relocation of a candidate to take up the position in an Oxfam location

The Cambodia, Laos Vietnam (CLV) Cluster is newly created as part of the Oxfam global change process.  The CLV Cluster links programs, people, funding resources and knowledge in Cambodia, Laos and Vietnam country programs to optimize delivery of the Oxfam Global Strategy Framework and the Oxfam Asia Regional Strategy, and to achieve operational efficiencies

 

The Role

 

Oxfam Novib is looking for a qualified candidate who will support the delivery of Oxfam’s Civic space portfolio program in Laos,and other programs when requested. Provides logistics and administrative support to program colleagues and partners for program delivery.

 

KEY RESPONSIBILITIES  

 

  • Provide administration and logistics to support the delivery of civic space programs, and work plans according to schedule and requirements.
  • Support preparation and organization of program events, workshops and meetings (logistics, venue preparation and set up, communication with participants, note taking).
  • Ensure project documentation and filing (online and hard copy) is up to date and meets any donor requirements
  • Provide administration and logistics support for program provincial visits, partner visits and program team travel
  • Support program monitoring and evaluation (field and partner visit, data entry for M&E and reporting requirements)

 

TECHNICAL SKILLS, EXPERIENCE & KNOWLEDGE

 

  • Knowledge of development principles and development programs
  • Demonstrated commitment to gender justice and inclusion principles and practices.
  • Experience in providing administration support for development programs in Laos with local or international NGOs.
  • Experience in event logistics, creative thinking for organising workshops and events
  • Good computer skills and experience in maintaining files for donor programs
  • Good communication, presentation, and organisation skills; Good written and spoken English and Lao.
  • Demonstrated interpersonal skills and ability to work with colleagues in dispersed locations and from multi-cultural contexts
  • Able to prioritize and meet deadlines

Who we’re looking for

 

  • University degree or high diploma in Business administration / international relationship, development and environment or relevant subjects
  • Minimum 3 years of experience in Program assistant or administrative role
  • Ability to handle a variety of administrative duties that include filing, copying, faxing and mailing in an office setting. 
  • Ability to manage your time effectively, identifying what is most important at a given point in time, while keeping the bigger picture in mind
  • Good writing, communication, and oral skills in order to provide customer service or information
  • Active on supporting program activities
  • Ability to work well under pressure and tight deadlines
  • Ability to manage a portfolio of multiple tasks with deadlines.
  • Willingness to travel to remote areas of Laos.
