Oxfam Novib Uganda is seeking to hire an
Office Assistant.

 

Duty station: Kampala, Uganda

Type of appointment: Fixed-term Contract

Contract duration: 12 Months, With Possibility of renewal depending on budget and performance

Work schedule: Full-time 40 hours per week

Reports to: Administration Officer

Salary & Scale: F2

Start date: As soon as possible

CONTEXT

 

Oxfam in Uganda started work in the 1960s delivering development and humanitarian support as part of the Oxfam confederation, a global movement of people fighting to end inequality and injustice. Today, we continue to tackle the inequalities that make and keep people poor. We save and protect people’s lives in times of crisis. We work with people to build their resilience and rebuild their livelihoods. We enable vulnerable people’s voices to be heard and campaign for genuine, durable change.

 

OBJECTIVE OF THE POSITION

 

To support the smooth running of the Country Office by maintaining a clean and conducive working environment that supports staff wellbeing and caters for all Oxfam staff and visitors.

 

KEY RESPONSIBILITIES

 

Office Cleaning

  • Carry out daily and routine cleaning of all office areas, including individual offices, meeting rooms, reception areas, corridors, workspaces, internal office facilities, entrances, porch and other external areas ensuring they remain clean, safe, organised and presentable at all times.
  • Maintain high standards of hygiene in all washrooms/restrooms, ensuring they are cleaned, sanitized, well-stocked, and tidy at all times.
  • Clean and maintain the office kitchen, including worktops, sinks, floors, cupboards, appliances, and other kitchen facilities.
  • Empty waste bins regularly, dispose of waste appropriately, and ensure that waste disposal areas remain clean and hygienic.
  • Carry out deep cleaning and major cleaning tasks as required or as directed by the Supervisor.
  • Maintain the office compound and gardens, including sweeping, removal of litter, and general upkeep of the surroundings.
  • Regularly inspect the office premises and promptly attend to areas requiring cleaning or attention.
  • Ensure that adequate cleaning materials, equipment, toiletries, and other cleaning consumables are available and properly stored.
  • Monitor the use of cleaning supplies and report shortages or replenishment requirements to the Supervisor in a timely manner.
  • Handle cleaning equipment and materials responsibly and ensure they are properly cleaned, maintained, and stored after use.
  • Comply with workplace health, safety, hygiene, and sanitation requirements while carrying out all cleaning duties.
  • Perform any other cleaning and housekeeping duties reasonably assigned by the Supervisor.

 

    Office Support

  • Operates copier machines, including ensuring timely service, reporting faults to supervisor as they occur and following up repairs as necessary. Also requests for replenishment of Copier consumables.
  • Photocopies and/or binds all official documents, distributes as directed, and files copies as necessary.
  • As assigned, covers the reception desk and attends to requests in a courteous manner.
  • Runs office errands such as collecting and delivery of mail and assists in arranging office functions.
  • As assigned, receives issues and records incoming and outgoing assets in the transit stores.
  • Supports other adhoc duties such as messaging and photocopying.

 

      Kitchen Function

  • Prepare beverages (tea, coffee & other drinks) for Office staff, visitors and meetings throughout the workday. As necessary, requests and make purchases of snacks for staff meetings and visitors.
  • Replenishes kitchen consumables at the beginning of each workday to enable staff and visitors to have tea/coffee as required. 
  • Take responsibility for cleaning and organizing the kitchen.
  • On monthly basis or depending on need, requests for timely kitchen stock replenishment.
  • Maintains custody of all kitchen supplies.
  • As assigned, other tasks are performed, which are consistent with this level in the organization.

 

Interacts/Interfaces with:

Internal

  • Oxfam staff.
  • Maintains key relations, collaborations and interactions with Logistics, Procurement, Reception and Drivers.

 

External

  • Oxfam Visitors.

 

WHO ARE WE LOOKING FOR?

 

Of course, you have at least two (2) years of relevant experience in providing general cleaning services and office support, preferably in an INGO setting. You have relevant academic qualifications or training in office support and administration. You have proficiency in written and spoken English is essential. Ability to demonstrate high levels of honesty and integrity and discretion in the performance of duties. You have qualities of reliability, punctuality and a strong sense of responsibility. You have strong planning and organisation skills with ability to prioritize tasks effectively. Ability to operate Office machines, with basic knowledge of working with Computers. You have good knowledge in filing and record keeping. You have excellent interpersonal skills; ability to work on your own and within various teams with minimum supervision; proven ability to be flexible and work cooperatively with different teams. You have a good understanding and commitment to Oxfam’s gender work/ policies, hence capacity to incorporate gender and diversity issues into office management.
