DEPARTMENT PURPOSE:

 

TEAM PURPOSE:

 

To arrange and maintain the financial and administration aspects of the office in such a way that the financial planning & budgeting, accounting, support and administrative services for the running of the office are efficient and effective according to the set standards and procedures.

Provide administrative and finance support to the country office.

KEY RESPONSIBILITIES

 

 

 

  • Review transaction documents to ensure compliance to standards before issuing payments.
  • Making sure that all invoices / payments passed for payment have the relevant supporting documentation following Oxfam’s procedures including (but not limited to) authorisation levels and procurement procedures.
  • Register and process all payments  and work closely with Logistics to ensure that dispatch is done effectively
  • To compile various financial documents, verify their accuracy, and ensure compliance with established procedures.
  • Execute data entry transactions for payments and financial transactions as part of the required bookkeeping within the system.
  • Ensure accuracy of cost centres being charged on Payment requests.
  • Prepare and adjust finance journal entries as required from FO.
  • To ensure that statutory obligations are adhered to such as tax requirement and any other legal requirement related to payments.
  • To Inform the Finance Administrator of any major discrepancies or problems and assisting in resolving relevant issues/problems.
  • To maintain and keep all finance files updated making sure that on daily basis all the relevant accounts documents are filed correctly and timely both in hard copy & Soft copy.
  • To assist in the preparation of financial reports including month and year end.
  • To support in the verification of assets process
  • To prepare and process the monthly payroll in coordination with the financial Administrator and HR.
  • To prepare audit samples during office & project audits.
  • To perform any other relevant duty at the request of the line manager

In addition:

 

  • BA in Accounting
  • 3 years’ experience in a similar  position preferably in an INGO
  • Technically competent in administration.
  • Computer literate, including word processing, database / spreadsheet use
  • Ability to prioritize own workload, to work independently and to work to deadlines.
  • Good communication and listening skills.
  • Continually seeks out most efficient use of resources.
  • Ability to communicate instructions effectively
  • Enthusiastic and committed to Oxfam’s goals
  • Willing & able to offer support to other departments
  • Able to organise own work with minimum supervision.
  • Good time-management skills.
  • Written & oral Arabic, English essential.

 

Desirable

  • Experience and knowledge of PASTEL and SAP systems.
